To easily set-up and use SCR - Sales Commission Reports, the documentation has been divided into three parts.
Before setting up SCR, go to the SCR main menu. Select Extended Processing Options from the Sales Invoice processing menu. Then, choose "C" - Sales Commission Reports. The following screen will appear:

The first step in setting up your Commission Reports is to select "O" - Set Global Options.

Total Sales or Gross Profit: If you pay commissions as a percentage of the Total Sale, select "T" here. If you deduct the Cost of Goods Sold before calculating commissions, select "G" here. NOTE: You must select this option BEFORE you Post invoices (or Process Previously Posted Invoices).
Changing this option after posting will have no effect on those invoices. Your changes to the options will, however, effect the next batch of invoices to be posted.
Commission Method: Select the method that is most appropriate for your business.
Default Commission Percentage: The default commission percentage is used for all cases where a particular match to a commission criteria is not found. (See Commission Criteria for more information.)
Display Warning Message for Invalid Salesperson (Y/N): Setting this option to "Y" will cause PeachPro to check the salesperson's name entered during "Enter Documents". If you enter a salesperson that does not exist in Commission Reports, the following message will be displayed. If you answer "N" the message will not appear.

After you have finished setting up your global options, the next step is to select the transaction types that will be used to determine commissionable and payment amounts. Selecting "T" - Commission/Payment Transaction Types will bring up the following menu:

Selecting "C" will bring up a menu allowing you to place a "check mark" next to the transaction types that you want to generate commissions. For example, if you pay commissions on sales of stocked products and services but not on non-stocked items, you would place a "check mark" next to SA and SS transactions. Leaving the "check mark" off the SN transaction would cause no commission to be paid on Non-stock transactions.
NOTE: If you put a "check mark" next to Return (RE, RS, RN transactions), then the commissions generated from returns are deducted from the salesperson's commissions. If you want returns to have no effect on commissions you would remove the "check mark".

NOTE: You must select your options BEFORE you Post invoices (or Process Previously Posted Invoices). Each invoice reflects the Total or Gross profit option and Commissionable Transaction Type choices that were active at the time the invoice was posted. Changing the options after posting will have no effect on those invoices. Your changes to the options will, however, effect the next batch of invoices to be posted.
If you base commissions on payments received, you need to select which transaction types constitute a payment. Selecting "P" from the Define Transaction Types menu will allow you to place a "check mark" next to the transaction types that you want to be considered a payment. Simply select the payment types you want to receive commissions. For example, if you do not want an invoice written off by a Bad Debt generating a commission, make sure that transaction type "BD - Bad Debt" is not "checked off".

After setting up Commissionable Transactions and defining Payment Transactions, the next step is to set up your Salespeople and Teams. Selecting the "S" - Maintain Salespersons/Teams option in the Sales Commission Reports Options (SCR main menu) will bring up the following menu:

Salesperson Code...............: Enter a unique eight character code to identify each salesperson. Please note that this field IS case sensitive, therefore "Evie" in mixed case, is separate and distinct from "EVIE" in all capital letters.
Salesperson Name...............: Enter the name of each salesperson as you would like to see it on each SCR Report.
Status - Active/Inactive (A/I).: Select "A" - Active or "I" - Inactive. Commissions will not be generated for Inactive employees.
Use Minimum Base Amount (Y/N)..: You may require that the salesperson make a minimum amount of sales before receiving commissions. If this is the case, then specify 'Y' and you may enter that minimum amount. If the minimum amount of sales is not made for invoices posted since the last report was generated, the salesperson will forfeit all commissions during the period. Partial commission paid on sales from a PREVIOUS report are not applied to the minimum base for the CURRENT report.
If return (RS,RA,RN) has "check marks" in the Define Commissionable Transactions field, a salesperson's commissions will be reduced for the return regardless of the minimum base. If the minimum base amount is met, then ALL commissions due the salesperson are reflected on the report.
The Starting YTD fields are used to enter YTD amounts that occurred before you began using Commission Reports. These fields should only be modified when adding a new salesperson.
The Cumulative YTD amounts will accumulate all invoice amounts and commissions generated for each salesperson. This amount will also include any starting YTD amounts.
Press [F10] to save the entered salesperson's information.
After you have finished entering all your salesperson's information, you may continue on to the next step, creating "Teams". "Teams" are used to split commissions for a certain invoice or invoices between several salespersons. For example, Tom may have found a sales lead which Evie then closed. You may want to pay Tom 10% of the commission and Evie 90%. To do so you would set up a "Team".
When you are at the Salesperson field you can press [F7-TEAM] to toggle you back and forth between the Salesperson Maintenance screen and the Team Maintenance screen. After you have toggled to the Maintain Teams screen using [F7] you will be asked for a team name. Entering the team name will bring up all the available salespersons that have been set up in the Commission Reports.
By pressing [Enter] on a salesperson you will add or delete that person from the team list. You are allowed a maximum of 15 salespersons per team.

After you have finished entering all the team members, press [ESC] to move on to dividing the commission amount between the salespersons. All the salespersons selected for the team will appear in the center window. Simply enter the appropriate percentage of the total commission amount each team member should receive.
NOTE: You are not entering the actual commission here, that is done later in the Set Commission Criteria section. In this section, you are telling the Commission Reports program how the total commission amount should be split between the various salespeople. For example, Evie and Tom may be due a $200.00 commission from a particular invoice. Given the example above, Evie would receive $180.00 (90% of the total commission) and Tom would receive $20.00 (10% of the total commission). The total commission percentage allocated to all salespersons must add up to 100%.
In this section, you are only setting up the "default" percentages for each team member. When you enter a document, you can change the way the commissions are divided and which salespeople receive the commissions. An [F5-EDIT TEAM] function key will be available in the Salesperson field in Enter Documents. (See Part II Using SCR to Generate Reports.)
An [F2-LOOKUP] is available in the Team Name field. Selecting a Sales Team will display the salesperson and the commission percentage for that team. The following function keys will be available once a team is selected. [F5] will allow you to edit the team.
[F6] will allow you to delete the team.
[F8] will exit you from the team without saving any changes.
[F10] will save your changes and return you to the Team Name field.
The next step in setting up the Commission Reports program is to set up the individual commission criteria. Selecting "C" - Set Commission Criteria from the main Commission Reports menu will bring up the following screen.

This screen allows you to enter, edit and delete commission criteria. Criteria are used by the program to calculate the commission that will be applied to a given invoice line item. The salesperson/team, product ID, customer, product code, and price code all play into determining the commission.
Criteria matches can be either exact, wild (*) or a mix of part exact and part wild (AB*). Each of the fields, except the commission percentage, may be wild. Fields are case sensitive -- for example -- if your department is 'APP', lower case 'app' or 'a*' will not produce a match. There should be no characters FOLLOWING the asterisk.
For example, you may want to pay 5% commission for all salespersons/teams, and items in department APP beginning with CU. If you wanted a 7% commission to apply to customer GLENNS, you can add that restriction as a second criteria setting.

[F2-SALESPERSON] will allow you to look up any existing Commission Criteria sorted by Salesperson.
[CtlF2-PRODID] will allow you to look up any existing Commission Criteria sorted by Product ID.
[F8-UNDO] will clear the current selections in the Set Commission Criteria screen and place the cursor at the Salesperson/Team prompt.
[F10-DONE] will save the current settings. If you edited a setting, you will be prompted to "U" - Update Original Settings or "N" - Create New Settings. Updating will modify the current setting. Creating a new setting will retain the old settings and create a new record with the current settings.
[ESC] will return you to the Sales Commission Reports main menu.
We have included several examples below to further clarify how to set up Commission Criteria.

The example above sets a 10% commission for Salesperson Evie B when she sells any products (not services) from Dept "APP" to a Customer Class "A" customer.
The example below is similar, except it only applies to items sold at price code "C". She will receive a 5% commission on those items.

If both of these criteria were entered, then Evie would get a 10% commission on "APP" items to "A" class customers if the price code were anything other than "C". If the price code is "C" then the commission is only 5%.
If you have entered and posted invoices that you would like to calculate commissions for, you can select the "P" - Process Commission for Posted Invoices option from the main SCR - Sales Commission Reports menu. This feature should only be used when you initially set up SCR for invoices that were posted BEFORE SCR was installed. It allows you to calculate commissions for invoices that have already been posted.

Simply enter the beginning and ending invoice number and SCR - Sales Commission Reports will allow those documents to be used in Commission Reports. If SCR - Sales Commission Reports encounters undefined salespersons, it will prompt you to "Add it on the fly" or "Skip Checking". See the "Posting Documents" section of the documentation if you need additional information on this feature.

After installing SCR - Sales Commission Reports, you will need to add a valid salesperson or team for each document that you enter.
If the salesperson has not yet been defined in Commission Reports, you will be warned when you try to save the document header information.
Selecting [F10] will leave the salesperson as is and no commission will be generated or you can press [Enter] and change the salesperson field.

NOTE: When you post invoices, SCR - Sales Commission Reports will recognize if a salesperson does not exist. You will have two options: 1) skip that salesperson (no commissions will be generated for that document) or 2) add that salesperson on the fly, and allow commissions to be generated.

Three additional function keys are available on the Add\Edit Documents screen at the Salesperson's field.

NOTE: If you use [F10-DONE] percent changes are for the current document only, no changes are made to the sales team default percentage nor are changes made to any other documents previously entered. To make changes to the Salesperson Default percentages, use [Alt-F10 SV DFLT] to save the settings for the current document AND as a default for that team.
After you have entered your documents, the last step you need to take before calculating commissions is to post your invoices. You can post your invoices as you normally would, but you may receive a few additional prompts during the posting process. During the posting process, if SCR - Sales Commission Reports finds any salesperson or sales team that is not yet defined in SCR, you will be prompted with the following box.

If you answer "Y", a Maintain Salesperson box will appear allowing you to add this salesperson on the fly. NOTE: You cannot add a team on the fly while posting documents.

If you answer "N", no commissions will be calculated for that document. If you answer "S", SCR - Sales Commission Reports will no longer check for undefined salespersons. Those documents that have undefined salespersons will not generate commissions.
NOTE 1: Commissions are calculated only on Posted Invoices. Commissions will not be paid on quotes or orders until they are converted to invoices and posted.
NOTE 2: You must select your options BEFORE you Post invoices (or Process Previously Posted Invoices). Each invoice reflects the Total or Gross profit option and Commissionable Transaction Type choices that were active at the time the invoice was posted. Changing the options after posting will have no effect on those invoices. Your changes to the options will, however, effect the next batch of invoices to be posted.
After you have set up Global Options, added Salespeople and Teams, chosen Commission Criteria, and posted Invoices (and/or processed Previously Posted Invoices), you are ready to start running Commission Reports. Simply select "R" - Commission Report Generation from the SCR - Sales Commission Reports main menu.

When calculating commissions you have the option of processing all invoices or specifying cutoff date(s). If you choose to specify cutoff date(s) you will have the following choices (based on your global options). If you have selected an option that is dependent on payment status, then you will be able to select two cutoff dates -- a payment date and an invoice date. If you have chosen to pay commissions regardless of payment status, you will only have an invoice cutoff date to specify.
The dates you specify will be the upper bounds for scanning posted invoices and calculating commissions. For example, you may have posted invoices recently, but only want to calculate commissions through a given date (or dates) of either the invoice or the payment. Use this option if you wish to restrict your scan. Those invoices not scanned will be retained and will have commissions calculated for them the next time you scan and include them within the range of scanning.

Invoice Cutoff Date: 02/05/96
The default dates are for "today". Selecting a Payment Cutoff Date will exclude any payments made after that date. Selecting an Invoice Cut-Off Date will exclude any invoice dated after that date.[F8-UNDO] or pressing [ESC] backs you up to the previous menu choice.
[F10-DONE] acknowledges your entered dates and moves on to the salesperson "All or Range" filter screen.
If you selected "All" or after you complete the Cut-Off Date prompts, you then are moved to an "All or Range" choice for salespersons.

After selecting "All" or "Range" of salespersons, SCR - Sales Commission Reports will scan the invoices along with their payment status, and start calculating commissions. As SCR is scanning, it will display the Invoice Number, Date, and Salesperson it is currently processing. It will also display the Cumulative Commissions for this run.

NOTE 1: You must select your options BEFORE you Post invoices (or Process Previously Posted Invoices). Each invoice reflects the Total or Gross profit option and Commissionable Transaction Type choices that were active at the time the invoice was posted. Changing the options after posting will have no effect on those invoices. Your changes to the options will however effect the next batch of invoices to be posted.
NOTE 2: SCR - Sales Commission Reports will pay commissions only for those items that are POSTED. If, for example, you have a backorder situation where the customer orders 10 items but you only ship four, when PeachPro posts the invoice, it leaves a current invoice for six ordered, zero shipped and a posted invoice for four ordered, four shipped. SCR - Sales Commission Reports will only pay the commissions for the four items that appear on the POSTED invoice. Later when that backorder is filled and the invoice is posted for the additional six items, SCR will pick up the additional items and pay commissions on them as well, but only after those items are posted.
If SCR - Sales Commission Reports finds commissions to be paid it will prompt you to print either the Preliminary or the Final Report.

P - Preliminary Commission Report: This is generally the first choice made after scanning. It allows you to review the report and make changes, if necessary, to your Commission Criteria and rerun the Commission Report. After printing the preliminary report, you have the option to print the final report directly.
F - Final Commission Report: This report finalizes the commissions for each salesperson and carries forward partially paid invoices which are waiting for additional customer payments if you base commissions on payments received. If you select the Final Report, all commissions for the report are marked PAID. No changes are allowed. Do not run the Final Commission Report until you are satisfied with the results of the report!
After selecting Preliminary or Final, you can choose the detail level of your report. We have provided samples of the three reports on the following page.

R - Reprint Final Commission Report allows you to print Final Commission Reports again. When you select Reprint Final Commission Report, you will receive the following screen. The last Commission report will be the default. An [F2-LOOKUP] is available and will display the available final commission reports. You will again have the option to print the report for All or a Range of salespersons and in whichever level of detail you wish (Detailed, Consolidated, or Salesperson).

The Aged Commission report is a wonderful tool that is very useful to increase your A/R collections. The report lists for each salesperson what invoices are yet unpaid, and the corresponding commission amount. This report gives your salespeople the incentive they need to get their customers to pay on time.

SCR has an additional feature to allow you to manage the amount of disk space your SCR data will require. Selecting H - Purge Historical Commission Data from the Sales Commission Reports Options will bring up the following prompt. Entering a date here will purge all commission information prior to that date, thereby freeing up disk space. After purging, you will no longer be able to reprint commission reports prior to the cutoff date, but active information regarding commissions yet to be paid will not be deleted regardless of the purge date selected.

Technical Note: Balance forward and temporary customers are not to be used with SCR Commission Method 1 & 2. SCR needs the detailed transaction information from Accounts Receivables to determine the payment status.
