| IAA Auto Assemblies in Inventory Assemblies |
Do you have numerous assemblies in your Peachtree inventory?
Is it tedious to have to assemble a quantity of these assemblies using
Peachtrees one-at-time function? With IAA -- Auto Assemble Items the
system will automatically go through existing assembly items and
compare the reorder level to the quantity on hand and then assemble a
sufficient quantity of the items to leave the quantity on hand equal
to the sum of the reorder level and reorder quantity. For each item
assembled a report is printed which lists department number, part
number, old and new quantity on hand. Frequently, the quantity on
hand for these assembly items is negative before running this feature.
IAA is available within Inventory processing as shown below:
+------------- PCA Main Menu --------------+ | G - General Ledger | | A - Accounts Payable | | R - Accounts R+---------- Inventory Main Menu -----------+ | S - Invoicing/| M - Maintenance Programs | | I - Inventory | P - Processing Programs | | P - Payroll | R - Report Pro+------- Inventory Processing Menu -------+ | F - Fixed Asse| | Q - Query Inventory Items | | J - Job Cost | | E - Enter Inventory Transactions | | O - Purchase O| | W - Assemble/Disassemble Items | | U - Utilities | | C - Close Current Period | | Q - Peachtree | | | | M - Additional| | | +----------------| | | | | | | | | +----------------| | | | | | +------------------------------------------+
When choosing W - Assemble/Disassemble Items with IAA active an extra option will be present:
+-- Assemble/Disassemble Options ---+ | W - Assemble/Disassemble Items | | A - Auto Assemble Items | +-----------------------------------+ F10-Done ShF10-Home
Selecting W runs the normal Peachtree assemble/disassemble code
which allows one-at-time assembly/disassembly.
Selecting A invokes the new capability to scan through all
assemblies and automatically create assemblys sufficient to bring the
quantity on hand up to the the sum of the reorder level and reorder
quantity. This function only works for Product type assemblies.
Assemblies of a Service type are not handled as Peachtree does not
consider service items as having a quantity on hand.
When selecting A, the user is prompted for a control report.
It is highly recommended that the control report be run each time, as
the only indication of activity is a brief display on the screen that
the assembly mode is in operation.
A sample control report is shown below.

In the above example 10 cars were sold which put the inventory
10 below the trigger quantity. When the Auto Assembly was run the
program looped through all the assemblies and compares current
quantities with the reorder level and reorder quantity. Where
assemblies are deficient, sufficient assemblies are completed to bring
that quantity up to that requirement.
In the example report above the CAR is made up of numerous
subassemblies which are in turn made up of other subassemblies. Ten
engines used triggered a need for 10 Starting Assys, which triggered a
need for 10 Ignition Sys, and thence 10 Coils and 20 Points. The
inventory level on Coils was -16 and went to -26 after assembling the
10 Ignition Systems.
The Auto Assembly routines loops through the assemblies until
it can find no assemblies that are not assembled to a sufficient level
to meet the criteria. This multiple looping is necessary since the
assembly of one item may trigger a further assembly of an item that
had already been assembled to meet an existing requirement. As an
example, trace the assembly tree from CAR to Body to bumper assy to
rear bumper. Thus, the control report might show that a given item
may be assembled multiple times as the overall asembly process takes
place.
It is recommended that a Inventory Status Report be run after
running the Auto Assembly routine. This will show those inventory
items that are now in a negative status and will clarify the total
items assembled. See, for example, the Coil and Pulley Shaft in the
report below:

As an additional note, the Component Item Flag should be set to "C" on items within assemblies. If it is set to "S", stand-alone saleable item, an error flag will appear and that item will not be included in the Auto Assembly process. This same warning would appear when previously assembling items one at a time.
